Introduction

Margolis Management and Realty, LLC is a management firm with over 25 years of experience in condominium management. We feel that our vast experience in condominium management and your geographic proximity to other condominiums we manage can and will be of great advantage.

Attentiveness/Responsiveness

Margolis Management and Realty, LLC stands ready to answer the needs of its customers with management, bookkeeping and administrative services. Our clients may call our office during normal business hours from 8:30 A.M. to 4:30 P.M., Monday through Friday. Before and after normal business hours on weekends, and for emergencies, our 24-hour answering service will retrieve calls and relay the message to the appropriate manager.

On a daily basis, managers receive and handle calls and emails from their respective managed community. If a manager is not at his/her desk, a caller may leave a message in the manager’s voicemail box. Managers review all bills/invoices, respond to correspondence, monitor all checks before disbursement and review monthly financial statements. All bank accounts are reconciled monthly.

Vendor Relationships

Our goal is to identify highly skilled, competitively-priced service professionals who are trustworthy, punctual and customer-oriented. We work with contractors, vendors and maintenance personnel who are familiar with state-of-the-art building practices and well-rounded in their field. With service professionals, managers consider cost-effective approaches to building maintenance issues from a short term and long-term perspective. Our intention is to assist Board members in making intelligent, well thought out decisions on how they will invest their maintenance dollars.

Management Information System

After carefully reviewing the informational and accounting technology available to property management offices, Margolis Management and Realty, LLC invested in Quick Books Pro Accounting Software to handle the varied demands of community associations. Each month, members of the Board of Directors receive a copy of the monthly financial report showing all transactions that occurred during the month. We have the ability to email monthly financial reports to Board members.

Management Style

Our account managers take a hands-on approach to managing their respective communities. Managers establish open lines of communication with vendors and contractors. Our managers manage effectively and efficiently with a goal of maximizing quality, minimizing costs, and saving money. When roles, responsibilities and expectations are clear to Board members, the managers and the service provider, a successful outcome is more readily achieved.

We recognize that the personal style, skills and experience of a manager are essential in facilitating a successful partnership between the company, the community leadership and its vendors and contractors. Margolis Management & Realty, LLC carefully places its personnel with an association and monitors that relationship by seeking feedback from both the manager and community leaders.

Long Term Planning

Our objective is to assist community associations by helping them recognize that they must have a long term capitol plan in place. We help to identify what the major physical components of the plan should include, the items that need to be replaced, timetable, funding mechanics, etc. We involve outside resources as necessary to provide consultation services and advise community leadership on sound building practices and cost-effective methods.

In effect, we assist you in forecasting future costs of your capital improvements. For example, have you considered how much money must be allocated for current and future repairs or renovations to the infrastructure of your community (i.e. roads, roofs, siding, erosion control, landscape improvements)? Given certain projected replacement costs, we determine what you will need to have in savings in five, ten or fifteen years and how a certain portion of those funds put away now will result in having needed funds down the road.

Routine Maintenance

Margolis Management & Realty, LLC has a maintenance staff and is able to provide routine maintenance services at a competitive price. Using our maintenance personnel is an option, along with considering other vendors and contractors.

Summary

Our services include but are not limited to the following:

  • Collecting all monthly charges and depositing into your community checking account.
  • Providing full bookkeeping services; which include, paying all invoices, furnishing monthly statements and working with accountant and Board Treasurer, as needed.
  • Negotiating contracts for services and supervising contracted work (as needed).
  • Providing on-site inspections of common area.
  • Handling day-to day issues, responding to written complaints and requests.
  • Attending Board Meetings.
  • Sending out appropriate correspondence, letters, and notices to unit owners and/or vendors, etc., as required.

Our in-depth management, administrative and financial experience can relieve you and your Board of the day-to-day problems, thereby allowing you to attend to matters of policy and organization.
